This article walks through the process of creating checklists that can be used as part of your design reviews in CoLab.
As an administrator, start by clicking on the company name on the top left of the screen, selecting Company & Admin and then Checklist Templates. Checklists can be added, edited and deleted in this section.
Building a new checklist
You can build a new checklist template directly in CoLab by clicking on the '+ Create checklist template' button. This will take you to a form with various fields you can fill in to build your checklist.
Start by giving your checklist a name and description that represents its purpose and desired outcomes. Each description field has rich text capabilities, allowing you to format your text as well as add hyperlinks.
Adding and removing items
Next, you can add your checklist items, each with a name and description. These items represent the checks your reviewers need to perform during their design review.
The form will load with at least one empty item for you to complete, but you can easily add more by clicking on the '+ Add item' button. To remove an existing item, click on the trash can icon across from the checklist item number.
Re-ordering items
You can click and drag items around, to change the order of the items you have created. Click and drag the handle beside the checklist item number to move it to a new position.
Saving your checklist
When you are finished building your checklist, scroll back to the top of the screen and click the 'Save' button to save it.
The checklist will be saved in the checklist template table on the previous screen. This allows you to return to the checklist for viewing, editing, duplicating or archiving.
Uploading a checklist
As well as building checklists directly in the app, you can upload checklists via a CSV file.
Checklist templates must be uploaded in .csv format. Our system best supports Unicode (UTF-8) format to ensure that all font symbols are properly recognized.
.csv files should have two columns: the first for the list item and the second for the description of the list item.
Start by clicking on the '+ Create checklist template' button. Then, on the checklist builder screen, select the 'Upload CSV' button.
In the upload modal, click and drag a .csv file into the drop zone or select a .csv file from your desktop.
The next screen will summarise the selected files for you to review. Click the 'Upload' button to finalise the upload.
The checklist form fields in the app will populate with the contents of the CSV file. You can now review, edit and reorder them as needed. When finished, save the checklist using the save button at the top of the form.
Managing saved checklists
When a checklist has been saved, you can perform various actions on it by clicking on the menu option (three dots) on the checklist in the table.
Editing a checklist
Selecting the 'Edit' option will open the checklist in the checklist builder for editing.
Editing a checklist template will update the template for use going forward. The edits will not apply to any instances of that checklist already attached to a review. Live review checklist editing is not yet possible.
Additional options
Duplicate - create another copy of the checklist. It will also open in the checklist builder, allowing you to preview and edit it if needed.
View - see a quick preview of the checklist without having to open it in the checklist builder.
Archive - make this checklist unavailable to reviews in CoLab. It will move the archive table if you need to restore it at a later date. You also have the option to delete an archived checklist.
