Uploading and using checklists

This article walks through the process of uploading design review checklists to CoLab, adding checklists to reviews, and exporting checklist data post-review.

Uploading a new checklist

As an administrator, start by clicking on the company name on the top left of the screen, and selecting Company & Admin.

In the Company > General section, select Checklist Templates.

Here you will be able to click on the '+ Create checklist template' button to start the upload.

  • Checklist templates must be uploaded in .csv format. Our system best supports Unicode (UTF-8) format to ensure that all font symbols are properly recognized.

  • .csv files should have two columns: the first for the list item and the second for the description of the list item.

In the upload modal, click and drag a .csv file into the drop zone or select a .csv file from your desktop.

The next screen of the modal will show you a preview your checklist. To proceed, click the Upload button.

Assigning a checklist to a review

To add checklists during review creation, simply select one or more checklists from the 'Checklist' dropdown menu in the review creation sequence.

If your review has already been created, you can still add a checklist to the review.

  1. Open the review.

  2. Select 'Checklists' option in the right sidebar.

  3. Click on 'Add Checklists'.

  4. Select the desired checklist from the dropdown menu.

Whichever way it was added, the checklist will be available under the 'checklists' section on the right sidebar.

Using a checklist during a review

Reviewers assigned to the review can click on the checklist to see the checklist items. Clicking on a specific checklist item will reveal actions that can be taken and associated with that item.

Passing and failing checklist items

Reviewers can designate whether checklist items have passed or failed, by selecting the 'Pass' or 'Fail' button. Alternatively, they can select the 'N/A' button to indicate this check was not applicable on this file.

Associating feedback with checklist items

Pinning feedback in the viewer while a checklist item is open will automatically link that piece of feedback with the checklist item. This makes it easier to understand which comments support each item on your checklist.


You can also link an existing piece of feedback with a checklist item. Open the checklist item, select Linked Feedback and select the desired feedback item from the list of existing feedback.

Adding notes to a checklist item

Reviewers can also add notes to a checklist item by selecting the 'Notes' option on the checklist item.

Exporting checklist data

Checklist data is exportable as a zip file containing four CSV files. To export your checklist data - open the 'Checklists' menu, click the more button (three dots) on the desired checklist and select Export checklist metadata.

You can also access this option inside a specific checklist, from the 'More' menu at the top of the panel.
