Designating Restricted Workspaces

In recognition of the importance of controlling data access, CoLab administrators are able to designate workspaces as restricted.

Restricting a workspace will notify users that the data contained in the workspace is sensitive, and will give admins control over which users are able to access sensitive data.

Designating an existing workspace as restricted

Step 1: As an admin, select the Workspaces & Portals tab in the admin settings panel

Step 2: Find a workspace and select "Convert to restricted"

Note: Restricting a workspace is a permanent action and can not be reversed.

Step 3: Create a message for users entering the restricted workspace

The text in this image is an example. Admins are required to write their own message when restricting a workspace.

Step 4: Remove team members who are not authorized to view restricted data

Step 5: Remove or keep portal guests

Creating a new restricted workspace

Step 1: As an admin, select the Workspaces & Portals tab in the admin settings panel

Step 2: Select "Create Workspace"

Step 3: Toggle restricted workspace

Step 4: Name your workspace and create a restricted workspace message

Step 5: Select Create

Restricting uploads and downloads in restricted workspaces

Admins are able to restrict uploading and downloading in restricted workspaces. These settings can be under the Security tab in the admin settings panel.

Restricting file uploads to restricted workspaces

From the Upload & Download Restrictions section of your security settings, you can choose whether files uploaded can be uploaded to a restricted workspace from any location or solely through one of CoLab's PLM or CAD integrations.

Restricting file downloads from restricted workspaces

Similarly, you have the option of disabling all file downloads regardless of workspace permissions.
