Occasionally a file will be uploaded as a new file rather than as a revision of an existing file. This can cause problems with clarity and understanding, as well as limiting use of features like comparison tools, which require compared files to be revisions of one another.
How to make a file into a revision of another file
Actioning single files
To convert a file into a revision of another file, select an eligible file in the workspace drive and drag it into the 'target' file i.e. the file it should be a revision for.
This will open the "Move to new revision" modal. This modal allows you to verify you have selected the correct files. If the wrong files were selected, you can use the dropdown menus provided to select different files from the workspace.
Once you are happy with your selections, click the Next button.
Actioning files in bulk
It is also possible to convert files to revisions in bulk. There are a couple of ways to do this.
Option 1: Multi-select in drive
Start by selecting multiple eligible files in the workspace drive. From there you can either:
Right-click on any of the files and choose "Move to new Revision" in the context menu.
Or select the "Move to new Revision" option in the bulk action toolbar at the bottom of the drive.
This will open the "Move to new revision" modal, where you can select the appropriate target file. Note that multiple files can be added to the same target if needed.
Option 2: Add more files in the modal
If you already have the "Move to new revision" modal open, you can select the "+Add more" on the first page to add additional files.
This will provide additional dropdown menus for the source files and target asset. All eligible files in the workspace will be given as options in these menus. Match each source file to the appropriate target.
Finalising the move
Whether you are moving files one at a time or in bulk, the second screen of the "Move to new revision" modal will show you the mappings you have chosen. Check the box that acknowledges that this action cannot be undone, and click Move files to complete the move. Target revisions will be ordered by date.
Restrictions
To preserve data integrity, you cannot convert files to being revisions of another file if they meet any of the following conditions:
The files have feedback.
The files are attached to a review.
The files have ever been attached to a review.
Files that are shared to a Portal are not able to be moved into a revision format at this time.
