Uploading files using the Windchill CoLab Add-in

The Windchill CoLab Add-In supports versions 11, 12, and 13 of Windchill, up to version 13.1.

Share a single file for review

The CoLab add-in for Windchill supports uploading various file formats (see a full list of supported formats here).

To upload a single file:

  1. Open the appropriate folder, product, or workspace in Windchill.

  2. Either right click the file or click View information on the Folder Contents list to open the needed information page.

  3. Open the Actions menu (located in the upper left corner of the window).

  4. Select Share with CoLab. If you do not see Share with CoLab, you may need to log into CoLab.

  5. Select the required Workspace or Workspaces from the list of Workspaces by checking the checkboxes next to the appropriate Workspaces.

  6. Select the required folder, if any, if one or more folders already exist in the Workspace.

  7. Click Share with CoLab in the bottom right corner of the screen.

    Once the upload has completed, you can open the file in CoLab by clicking Open Workspace in the bottom right corner.

Set uploading parameters

When uploading files with certain properties (such as an assembly, a file that leverages family tables, or WTPart), you will be presented with additional upload options.

Once parameters are set or updated, they will be selected by default for the next upload.

Uploading PRT files

When uploading a PRT file, you have the option to upload all available representations along with the main file.

To upload representations, enable the Upload other representations toggle on the Share with CoLab dialog.

Uploading WTDocument files

When uploading WTDocument files, the system will identify files that are supported by CoLab within the Primary Content of the selected WTDocument file. If there are no supported files in the WTDocument file, there will be an error displayed to explain the problem.

Uploading DRW files

DRW files should have a PDF representation to be shared with CoLab. The system will upload a PDF instead of the DRW file in this case, and will display an error if no PDF representation is included.

Uploading assemblies

When uploading assemblies, you will have the following options:

  1. upload the version of the referenced components that are targeted in the most recent checked-in version of the assembly

  2. upload the assembly with the most recent versions of the referenced components that are checked-in

To select which of these options you would like to choose, set the Use Latest Components toggle to off (for option 1) or on (for option 2) on the Share with CoLab dialog.

Select Revision for uploading

To upload previous versions of the current file:

  1. Click the dropdown with the File Name in the Share with CoLab dialog.

  2. Select the version you would like to upload.

Uploading a Family Table instance

The CoLab add-in allows you to upload an instance of the family table.

To do this, select the instance file and use Share with CoLab as usual.

Note: The tooltip "An instance of a family table" is displayed next to the file name in the Share with CoLab dialog.

WTPart uploading parameters

To upload WTPart to CoLab, select its sharing parameters:

  1. Select a Saved Filter to share the corresponding BOM for the WTPart. The Saved Filter will determine the BOM structure that will be shared with CoLab. It pulls the same file structure that is filtered with the Structure filter as configured in Windchill.

  2. Select attribute categories to share with CoLab.

  3. Select document categories to share. You can turn on the Share nested component’s documents toggle to share all supported nested documents at the same time.

  4. Click the Next button in the bottom right corner. If the Share nested components toggle is turned on and any of the document categories contain at least one document, the page with individual document selection will appear. If it is not turned on, or none of the document categories contain at least one document, the page with CoLab workspaces will appear.

  5. Expand the document categories and select individual documents in each category to be shared.

  6. Click the Next button in the bottom right corner.

  7. Continue the process by following the standard file upload workflow (above).

Sharing multiple files for review

The CoLab add-in supports uploading bulk files into CoLab.

To upload multiple files using the add-in:

  1. Open the appropriate folder, product, or workspace in Windchill.

  2. Select the files you would like to upload by checking the appropriate checkboxes in the list of files in Windchill.

  3. Either right click on the selected files or click Actions in the Objects list to open the context menu.

  4. Select Share with CoLab in the context menu. If you do not see Share with CoLab, you may need to log into CoLab.

  5. Select the Workspace or Workspaces that you would like to upload the files to by checking the checkbox next to the appropriate Workspaces.

  6. Select the folder you would like to upload the files to within the Workspace. The files can also be shared directly into the root of the Workspace.

  7. Click the Share with CoLab button in the bottom right corner. Once the upload is completed, you can open the files in CoLab by clicking the Open Workspace button in the bottom right corner. If the files were uploaded to multiple workspaces, the first workspace from the list will be opened.

Searching Workspaces

The Workspace search function helps you quickly find Workspaces within your CoLab account when uploading files.

Note that the search function finds Workspaces based on the workspace name, and does not currently search for folder names. The list is sorted from the recently updated to the oldest.
