Managing CoLab Action Roles in Windchill

The Windchill CoLab Add-In supports versions 11, 12, and 13 of Windchill, up to version 13.1.

The CoLab add-in is managed by a set of Action Roles in Windchill these allow the Windchill
administrator to specify which roles and users have access to the CoLab add-in within
Windchill.

Steps to enable the CoLab add-in for a specific role:

  1. Make sure Role-Based Visibility is enabled in Windchill.

  2. Open Windchill while logged in as a Windchill administrator.

  3. Open the Profiles tab by following this path: Browse > Site (tab) > Utilities > Profiles.

  4. Within the Profiles Window, click the profile you wish to edit.

  5. In the Profile Actions section, search for the CoLab-specific actions and configure them as needed.

    The following are the available CoLab Actions:

    - logIntoCoLab

    - workspaceCoLab1

    - coLabRefresh

    - shareForReview

    - openCoLabMenuModel

  6. Click the Action drop-down, then edit the profile : Action > Edit Profile.

  7. Toggle all the roles listed above to the "On" position in the Global column to enable the add-in for this profile.

  8. Apply the changes.

  9. Make sure the user refreshes their browser.
    If the CoLab add-in still doesn’t appear, the user may need to clear their cookies and browsing history after the profile has been updated.

  10. To disable the CoLab Actions for a profile, follow the same steps as above, but turn the listed actions off globally instead of on (i.e., remove the blue checkmark).

  11. The default settings for a Role is to have access to CoLab, make sure to disable CoLab Add-In for any roles that need it.
