Adding and using Favourites

Reduce time and clicks to navigate around CoLab by adding shortcuts to up to 100 regularly visited spaces, files, and views.

Adding Favourites

You can add items to your Favourites in a number of ways, depending on what you’re searching for. In most cases, you will see a hollow star icon appear when you hover over spaces, files, and views. Clicking on this star will turn it gold and add the item to your Favourites.

Workspaces

On the Home page, you can favourite a workspace in your Workspaces list by hovering over the Workspace name and clicking on the star icon to the right, or by using the “Add to Favourites” option in the Workspace’s kebab menu.

You can also add a Workspace to your Favourites list from the Workspace homepage, by selecting the star icon to the right of the Workspace name.

Portals

You can add a Portal to your Favourites list by selecting the star next to the Portal name in your Workspace Dashboard.

The "Add to Favourites" star can also be found next to the Portal name on the Portal's home page, as well as when searching for a Portal via the global search function.

Folders and Files

Folders and files can each be added to Favourites from your Drive. In your Drive, use the “Add to Favourites” in the kebab menu next to the filename to add it to Favourites.

Additional ways to add spaces, folders and files to your Favourites list:

  • When searching via the global search function in the sidebar, the "Add to Favourites" star is available on search results.

  • Clicking the kebab menu beside an item in your "Recently viewed" list in the sidebar provides an "Add to Favourites" option.

Table views

Table views in your Reviews and Feedback pages can also be favourited to bring you immediately to that view from your sidebar.

You can add an existing view to your Favourites by clicking on the star that appears next to its name in the “Views” dropdown.

When making a new view, you can also opt to add it immediately to your Favourites.


Using your Favourites

Favourites are accessible in two places: your sidebar, where you will interact with them most often, and within the global search.

Global Search

When using the global search, your Favourites will be prioritized in the search results.

Sidebar

When viewing your sidebar, clicking on a favourited item will bring you directly to that item: into the Workspace or Portal, to your desired view, or directly to the folder. If you select a file, it will open that file in the Workspace or Portal where you added it to your Favourites.

Filter and Sort your Favourites

Filter and sort your Favourites using the “Filter and sort” menu that appears when you hover over the word “Favourites” in your sidebar.

You can sort your Favourites in three ways:

  • Manual: this will default to adding new favourite items to the bottom of your list. Click and drag items to reorganize them in your sidebar. If you re-sort the list using a different method and then select Manual again, your previous changes will be maintained.

  • Most recent: this sorts your list by how recently they were added to your Favourites.

  • Alphabetical: this sorts your list into alphabetical order (starting with numbers).

Along with sorting, you can filter your Favourites. By default, all of the categories (Folders, Files, Workspaces, Portals, Review views, and Feedback views) are included in your filter, but each can be toggled off by unselecting their checkboxes. If all options are removed, your Favourites list in the sidebar will be empty and have an option to reset filters.

Removed items

When you lose access to an item you have added to your Favourites, the logo will change in your sidebar and the name will change to indicate that you will no longer be able to access it.

You can remove these from your Favourites by clicking the "X" that appears when you hover over the item while the sidebar is expanded.
