Designating restricted workspaces

CoLab administrators are able to designate workspaces as restricted in order to control data access.

Restricting a workspace will notify users that the data contained in the workspace is sensitive, and will give admins control over which users are able to access sensitive data.‍

Designating an existing workspace as restricted

First, navigate to the Settings & Admin page.

From here, head to the Workspaces option in the left menu. Then, use the kebab (3 dot) menu or right click on a workspace and select Convert to restricted.

When designating a workspace as restricted, we recommend creating a message for users entering the restricted workspace.

When designating a workspace as restricted, you can choose to remove any non-authorized workspace members.

You also have the option of keeping or removing portal guests from the restricted workspace.

Creating a new restricted workspace

When creating a new Workspace, you can choose to toggle Restricted workspace on. This will prompt you to add a Restricted workspace message.

Restricting uploading and downloading in restricted workspaces

Admins are able to restrict uploading and downloading in restricted workspaces. These settings can be under the Security section in the Settings & Admin page.

From the Upload & Download section of your security settings, you can choose whether files uploaded can be uploaded to a restricted workspace from any location or solely through one of CoLab's PLM or CAD integrations.

Similarly, you have the option of disabling all file downloads regardless of workspace permissions.
